In the Morgan Stanley Fund Services division, we work with a global institutional client base to provide hedge funds, multi-asset class investors, family offices and private equity Firms with innovative product solutions.                         

Morgan Stanley Fund Services (MSFS) provides fund administration services to the world’s leading hedge funds. MSFS has around 1300+ professional globally and of which, 700+ employees work out of India. Our offices are spread in New York, Dublin, London, Glasgow, Mumbai, Bangalore and Hong Kong.

It is a wholly owned subsidiary of Morgan Stanley. The parent company, Morgan Stanley, has obtained Financial Holding Company status in the United States. Subsidiaries of Morgan Stanley are subject to the supervision and regulations of the Federal Reserve Bank. MSFS is an independent legal and business venture within Morgan Stanley. It provides services on a stand-alone basis, independently from other Morgan Stanley affiliates.

What you’ll do in the role:

  • Exclusive control of business schedule and diary management. Maintain calendars for Management, arrange internal and external meetings. Pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds.

  • Extensive verbal and written interaction with operational group and internal colleagues.

  • Co-ordinate and book all travel including flights, hotels, currency, taxis etc within the Firmwide Expense Policy.

  • Ensure relevant agendas and itineraries are organized in advance for visitors, from other locations as well as provide admin support in terms of hotels, workspace, office access, etc.

  • Provide admin support for any ad hoc team projects e.g. offsites, onsite, town halls, social events, etc and coordinating with relevant teams / support team for logistics.

  • Assist with new hire orientation and IT setup/coordination, taking complete responsibility for onboarding of New Hirers in the team and coordinate with HR, IT and other teams for their account creation, desk, PC setup and other admin support required.

  • Updating of Space Management system of workspace in the system.

  • Keep a track of Visitors and updating the Corporate Services team of their travel dates.

  • Coordinate with vendors for processing monthly invoices

  • Supporting business during hiring drives, schedule interviews with candidates, including video conferences, etc. and coordinate with selected candidates.  

  • Assist in collecting and submitting expense statements and coordinating reimbursements.  

  • Make photocopies, scan documents, mail packages, and assist with any other administrative office duties where required.  

  • Handle the purchasing and maintenance of departmental office supply

  • Coordinate departmental events (e.g., town halls, off sites, luncheons, etc.)  

  • Assist in preparing reports, metrics, presentations, and other documents using Microsoft Office products such as PowerPoint, Excel, and Word


What you’ll bring to the role:

  • Prior administrative or related experience, minimum 5 years.

  • Excellent written, verbal and interpersonal communication skills.

  • Attention to detail

  • Flexible attitude and excellent judgment skills

  • Ability and willingness to manage multiple priorities in a professional manner

  • Highly service-oriented individual with the ability to work well both as an individual contributor and -as part of a team.

  • Able to take independent initiative for action within areas of responsibility.

  • Highly trainable with ability to learn and open to taking on new projects.

  • Ability to use Microsoft Word, Excel, Powerpoint, Outlook and other Microsoft applications.

  • Maintain confidentiality on all aspects of workload.

  • An experienced, confident, friendly, outgoing people orientated personality required, who is able to -Liaise with people on all levels to achieve work goals.

  • Ability to be able to remain calm under pressure and deal with last minute changes to schedules effectively and efficiently.

  • Pro-active ?can do? Approach.

  • Ability to use own initiative and judgement

  • Highly organised and capable of multi-tasking to meet deadlines.

  • Good organisational skills and able to follow up outstanding items as necessary

  • Strong team player

  • Excellent time/priority management skills and communication skills
